Inventory & Leadtime Updates

To ensure all Live deals reflect the most up-to-date information, we ask that you login to your Partner Portal and choose one of the three options below for Inventory & Leadtime Updates:

OPTION #1: Scheduled CSV e-mail

If you have the ability to build custom reports that can export data in a CSV- formatted file, this will be a great option for you! Please schedule an email to inventory@stackcommerce.com with the following Column Headers:

  • Sale ID // Vendor SKU
  • Inventory Available
  • Lead Time
  • Additional Incoming Inventory
  • ETA

Schedule the report export to go out Monday, Wednesday, and Friday. This is available for many Shipstation, Shopify, Channel Advisor clients or any CRM you are using to manage your inventory. If you do not have this set up or need assistance, please contact your Service or Product Manager. 

OPTION #2: CSV Update: 

  1. Please log in to your Partner Portal.
  2. Confirm the Vendor Account. If you use your email for multiple accounts, please use the dropdown next to your Vendor Name on the top right-hand side of the page to select the desired account. Sales_Tab.png
  3. Go to the "Sales" tab in your Partner Portal.
  4. Search for Product Name using the search bar or filter the dashboard view by selecting one fo the following:

    Current - Live Deals
    Completed - Deals that have ended
    Upcoming - Deals launching in the next 2 weeks

  5. Copy the SALE ID from the Column marked "ID" in the "Sale ID" column on your CSV.
  6. Confirm Available Stock by cross-checking the inventory level displayed under the "Inventory" column.Inventory_copy.png
  7. Use the Number on the left side to determine if you need to adjust inventory(/ 0). If an update is needed, please include the TOTAL Available Inventory in the "Available for STACK" column on your CSV.
    • This inventory should only account for the units in your warehouse or ship-from location. It should exclude all incoming shipments.
  8. Add Leadtime for each product in Leadtime Column on your CSV. As a reminder, Leadtime is defined as the maximum number of days it will take for you to create + upload tracking information into the Partner Portal from the date of order.* (This does not include the delivery of the goods to the customer**) 
    *Chargebacks (late fees) are automatically calculated off of the lead time.
    **Orders placed on Weekends will populate in the Partner Portal on the following Business Day at 12 AM PST.
  9. If you expect any additional Stock, please include the forecasted quantity that will be allocated to StackCommerce in the "Additional Stock" column.  The Shipment must arrive within the next 30 days to your warehouse or ship-from location. In addition, add the ETA so our team can modify any existing deals.

OPTION #3: Form Update: For 1 to 5 product updates, we recommend the following Inventory Update Form

  1. Enter your email address.
  2. Log in to your Partner Portal to confirm the Vendor Account. If you use your email for multiple accounts, please use the dropdown next to your Vendor Name on the top right-hand side of the page to select the desired account.Sales_Tab.png
  3. Enter "Vendor Name" on the Form.
  4. Go to the "Sales" tab in your Partner Portal.
  5. Search for Product Name using the search bar or filter the dashboard view by selecting one fo the following:

    Current - Live Deals
    Completed - Deals that have ended
    Upcoming - Deals launching in the next 2 weeks

  6. Copy the SALE ID from the Column marked "ID" into the "Product Sale ID" column on your form.
  7. Select Update Type. (If you are only updating lead time, go to STEP 10)

  11. If you expect any additional Stock, please include the forecasted quantity that will be allocated to StackCommerce along with the ETA in the "Additional Incoming Stock? ETA?" field. The Shipment must arrive within the next 30 days to your warehouse or ship-from location. In addition, add the ETA so our team can modify any existing deals.
  12. Include your Fulfillment Ship From Country. 
  13. If you expect any upcoming delays on orders due to holidays, please list out the dates in the section titled  "Any Upcoming Holiday Closures, Expected Delays?"
 
If you encounter any issues with any of these options, please contact inventory@stackcommerce.com and provide the following
  1. The CSV file(s) you are having issues uploading (For Option #1 & 2)
  2. A brief explanation of the issue you are encountering
  3. A screenshot of the error (Optional)
